Cloning the assistant for a new pilot (Option A)

See Onboard a new pilot for the full runbook. Summary:

1. Vapi Dashboard → Assistants → Polly UK — Trades v2 → Clone
2. Rename: Polly — [Trade business name]
3. In the prompt, replace tokens [business], [name], [trade name], [number] with the trade's details
4. Save → note new assistant ID
5. Buy a fresh Twilio UK number (see Twilio)
6. Vapi → Phone Numbers → Import → connect new Twilio number → bind to cloned assistant
7. Test call from the new number to verify
8. SMS forwarding code to the trade

Free-plan retention

• Recordings retained 14 days. Use a 13-day window when pulling for review.
• Quota: monitor in dashboard. Auto-recharge ON means we shouldn't hit dead-air.

Known issue (tracked)

• endCallFunctionEnabled timing: Polly sometimes says goodbye ~1.5s before hangup. Cosmetic only. Review on Vapi roadmap update.

Credentials env vars

• VAPI_API_KEY — workspace .env, gitignored
• Assistant/phone IDs are not secret — listed above for ops use
